About the Job
160+ year old Non Profit located in Southwest Houston is looking to fill an Administrative Assistant position in our organization. Candidate will report directly to the Senior Executive and will be responsible for providing high level, confidential administrative support for the Senior Executive. The ideal candidate must be a polished professional, have strong interpersonal skills, and be comfortable working in a highly visible and fast- paced role in our organization.

Coordinate internal and external high level meetings and conference calls.
Manage and maintain executive’s 7-day schedule and appointments calendar.
Communicate and handle incoming and outgoing electronic communications on behalf of executive by cell/text/email.
Research and book both domestic and international travel arrangements.
Heavy calendar management, requiring interaction with both internal and external executives, assistants, and outside parties, to coordinate meetings and events.
Answer and mange incoming calls, directing them to appropriate party promptly and efficiently.
Prepare, modify, and produce complex letters and correspondence for executive.
Process invoices and expense reports; follow up as needed.
General office duties, which may include, but are not limited to: faxing, copying, binding, maintaining contact lists, setting up for meetings, and greeting visitors.
Assist in the coordination of all company functions (i.e., programs, parties, fundraising events, etc).
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.

Must have solid experience as an Executive Assistant for Senior Executive.
Preferred minimum of 7-10 years solid, stable experience.
Experience working with confidential and/or sensitive materials.
Highly literate in computer applications including internet / web searches and Microsoft Office (Advanced knowledge of Word, Excel, and Outlook).
Position requires exceptional communication skills, both written and oral, and the ability to represent the Senior Executive in a professional and responsible manner.
Expert in multi-tasking, organizing, and prioritizing is critical.
Must have authorization to work in the US (no sponsorship), have valid driver’s license, and be able to pass a background check and drug test (no exceptions).

The salary range for this position is between $40,000-$45,000, depending on qualifications. We offer our employees competitive pay, on-going training, and a premier benefits package including medical, dental, vision, 403b, and supplemental benefits. Candidate must have the ability to work Monday-Friday from 8:30-5:30 and be flexible for overtime and weekends as needed.
